Getting started

Who is LemonBooking for?

Venues that hire out space: community centres and community halls, sports facilities, church halls, meeting and conference rooms, libraries, dance studios, parks and council-run buildings. All solutions

Can we try it before we commit?

Yes. There is a 30-day free trial of the whole system, with no card required and no set-up fees. We set the system up with you first, so nobody starts at a blank screen. At the end of the trial you choose a plan or walk away.

Do we need someone technical to run it?

No. LemonBooking is built for committees, committee members and small teams rather than for technicians. Separate roles let two or three people share the bookings without anyone needing technical knowledge, and support is included in every plan.

Can we import our existing data?

Yes, and we do it for you as part of setting the system up. Customer records and forward bookings come across from wherever you keep them now: another booking system, a spreadsheet, or a shared calendar.

Pricing and billing

How much does it cost?

There are three plans, billed annually, and every one of them includes a website, booking calendar, online payments and your first eight facilities. There are no set-up fees. The pricing page has the current figures for your region and a calculator that works out an exact price.

What counts as a facility?

Anything you take bookings for: a main hall, a meeting room, a tennis court, a ground, a studio. The first eight are included in every plan and further facilities can be added for a small additional fee.

Do you take a percentage of our bookings?

No. What you charge your hirers is yours. Card processing fees are set by your payment provider and go to them, not to us, and we add nothing on top. Event ticketing carries a small per-ticket fee, which is listed on the pricing page.

Integrations

How do our hirers pay us?

By bank transfer, or by card through whichever provider you connect. Stripe and PayPal are supported in Australia and New Zealand, and SumUp and Square in Australia. Direct Debit through GoCardless is supported too. They pay from the link on their invoice and don't need an account with us to do it.

Which accounting software does LemonBooking work with?

LemonBooking is a certified Xero integration, and has a similar integration for QuickBooks. LemonBooking can sync customer information, invoices, credit notes and payments with your bookkeeping software without anyone typing them in twice.

Does LemonBooking work with Google Calendar?

Yes. Bookings sync across, so staff see them alongside everything else in their day rather than having to remember a second calendar. There is also a REST API for integrating with smart devices.

Can we connect LemonBooking to our website?

Yes. The calendar, booking form, facility list and events are each available as a paste-in snippet that drops into your existing site and inherits its fonts and colours, so it doesn't look bolted on. There is a read-only REST API if you would rather power your own pages, and if your site is past saving we can build a new website for you instead. Hosting is included with all plans.

Running a venue in Australia & New Zealand

Can we collect a certificate of currency from hirers?

Yes. Add a file upload to your booking form and the hirer attaches their certificate of currency when they request the space, so their public liability cover arrives with the booking instead of being chased afterwards. The document stays on the booking, and staff can see at a glance which bookings are still missing one. The same field collects a Working With Children Check where your council asks for one.

Do invoices show GST correctly if we are not registered?

Yes. If you are GST-registered, invoices come out as valid tax invoices with GST shown on the lines where it applies, carrying your ABN — or your GST number in New Zealand — and your ACNC registration if you have one. If you are not registered, GST simply never appears: there is nothing to switch off and nothing to explain to a hirer.

Do you charge GST on the subscription?

No. We invoice from Denmark — Tectonic Software ApS, VAT DK41622148 — so your subscription invoice carries no Australian or New Zealand GST. Give us your ABN — or your New Zealand GST number — when you order and the supply is treated as a business-to-business supply. GST on what you charge your own hirers is separate, and LemonBooking handles that itself.

Can we handle seasonal allocations for sportsgrounds?

Yes. A club that has the oval every Saturday through the winter season is a recurring booking: set the day, time and date range once and every week is created, priced and invoiced together. Clashes are caught as they are made, and the whole season can be moved, cancelled or re-invoiced as one. Add custom questions on the booking form to capture what the club has to supply before the season starts.

Where is our data stored, and is it safe?

Your data is hosted on AWS, encrypted at rest and in transit, and backed up daily. We never sell or share it with third parties, and you can export everything you hold at any time. Access is role-based and every approval, invoice and refund is recorded against a named staff member, so you can answer an access, correction or deletion request under the Privacy Act 1988 — or the Privacy Act 2020 in New Zealand.

Is the booking site accessible?

Yes. The public booking pages and the websites built in the editor are WCAG compliant: keyboard operable throughout, labelled form fields, visible focus, heading structure that screen readers can navigate, and contrast that holds up. That is what the Australian Government Style Manual and the New Zealand Government Web Accessibility Standard ask for, and what a council or library needs to meet its obligations under the Disability Discrimination Act 1992, and in New Zealand the Human Rights Act 1993. Your own content is still yours — alt text on photos you upload is written by you, and the editor asks for it.
