RSL hall booking system & website software

Take hire requests online, send invoices, accept payments and run your sub-branch's website — all from one platform that's easy for a volunteer committee to manage. Built for RSL sub-branches in Australia and RSA clubs in New Zealand, and it works just as well for memorial halls, services clubs and community halls.

Anzac Day is not a booking.

The dawn service, the march, the gunfire breakfast and the two-up in the afternoon — the hall is not for hire on 25 April, and nor is it on Remembrance Day or for the sub-branch's own meetings. Block those dates once and the booking form stops offering them, years ahead.

  • Close the hall for Anzac Day and Remembrance Day on a repeating rule, not one year at a time
  • Hold the monthly sub-branch meeting and the Ladies Auxiliary slot as standing bookings
  • Put the commemorative service on your own website as a public event, so the community knows the time without ringing the secretary
  • New Zealand RSA clubs do the same for Anzac Day and Poppy Day

A calendar everyone can see.

Display availability for your hall. Public events (trivia nights, fetes, open classes) show their full title so visitors can spot what's on; private hires appear simply as ‘booked’, so hirers can see availability without exposing personal details.

  • Separate colours per room (Hall, Meeting Room, etc.)
  • Block out for maintenance & holidays in seconds
  • Set up repeat bookings for regulars (yoga, darts, ...)

A proper website for your hall — free hosting included.

No theme files, no FTP, no third-party hosting bill. Click any element on your hall's homepage to edit it — the welcome message, the photo of the kitchen, the list of facilities. Your hall, your words. It's powered by our RSL hall website builder.

  • Free hosting on secure servers, included with every plan
  • Works with custom domain names (yourhall.org)
  • Promote community groups and share local news

You're always in control.

Using LemonBooking, you can set up an online hall booking form that matches your current workflow — including requiring customers to make booking requests that need to be approved by staff. You're never going to be stuck with a booking that you can't accommodate at your RSL hall.

Automated notifications

You can set up the booking system to automatically notify you each time a customer submits a booking request so you can respond promptly.

Flexible calendar settings

You can choose how soon and how far ahead customers can make booking requests, and you can easily block out days where you know you won't take bookings (e.g. Christmas).

A printed schedule for the key-holder.

Not every volunteer wants to log in to check what's on. Print a tidy weekly schedule for whoever holds the key, unlocks for the cleaner and sets out the chairs — pin it by the door and everyone's on the same page.

  • One-page weekly PDF for the noticeboard or kitchen fridge
  • Shows each room, the times, who to call and any setup notes
  • Have it emailed round the committee automatically each week

Invoicing and online payments.

Give your volunteer treasurer an easy life. The moment a hall booking is approved, the system raises a clear invoice with your hall's logo and your own sequential numbers. Hirers settle up by bank transfer — or by card if you allow it — and the whole lot reconciles itself.

  • Simple, clear layout with GST details only when needed
  • Add payment links so customers can pay online
  • Friendly automated reminders for overdue invoices
  • Syncs with Xero and QuickBooks

Members' rates and everyone else.

Most halls charge locals less than outside bookers, and give regular community groups a lower rate again. Set up booking groups (Resident, Charity, Business and so on) and our RSL hall booking software applies the right price automatically — no discount spreadsheet, no sums on the back of an envelope.

  • As many booking groups as your hall needs.
  • Charge more for evenings and weekends than weekday daytimes.
  • Each hirer only ever sees the rate that applies to them.

That special rate for the playgroup.

Do you have a long-standing deal with the local playgroup? Has the Ladies Auxiliary paid the same rate since 1995? Pin a private price to that one hirer — it only shows when they log in, and never appears on the booking form for anyone else.

  • Override the group rate for a specific customer.
  • Only visible to that customer when they log in.
  • Apply an end date for fixed-term deals.

Support that survives a committee handover.

Committees change, and the new secretary inherits the bookings. We set the hall up with you at the start and we're an email away whenever someone new takes over, so the handover never leaves anyone stuck. Expect a reply from a real person within one or two working days.

  • We do the initial setup & configuration with you
  • Email support for whoever's on the committee this year
  • Self-serve help centre, YouTube videos & guides for new volunteers
  • Screensharing for Gold plan customers

Your data, looked after.

Your sub-branch holds names, addresses and payment details for every hirer on your books, so it is fair to ask how they are looked after. Everything is encrypted at rest and in transit, backed up daily, and never sold or shared with third parties.

Customer review from Trustpilot

“After a couple of months exploring the potential of the Lemon Booking system for handling bookings for our local village hall, we finally took the plunge in April 2024 and have never looked back. The system is not only very comprehensive, it is also extremely flexible, and the ability to customise it is one of its great strengths.”

Frequently asked questions

Anything we haven't covered, drop us a line.

Is there free RSL hall booking software?

There's a 30-day free trial of the whole system with no card required, but it isn't free forever — running and supporting an RSL hall booking system has real costs. Plans start at $390 a year and are pitched for small halls, and the trial lets your committee try everything before you commit a cent.

We're all volunteers with no IT person. Will we cope?

Yes. The system is built for sub-branch committees, not technicians. We do the initial setup with you so nobody faces a blank screen, and admin and editor roles let two or three volunteers share the bookings without anyone needing technical know-how.

Can we charge members less than the public for hall hires?

Yes. Set a member rate and a public rate on the same room, and pin a private rate to a particular hirer where a long-standing arrangement differs from both. The right price is applied when the booking is made, so nobody has to remember who pays what.

How do hirers pay for the hall?

Hirers pay by cheque or bank transfer, or by card if you connect Stripe, Square, SumUp or PayPal, or by Direct Debit through GoCardless — they just click the link on their invoice, with no account needed. Card fees go to the provider; we don't add anything on top.

Is there an RSL hall booking system app for our phones?

There's no separate app to install. LemonBooking runs in any web browser and the calendar and approvals work on a phone, tablet or laptop, so committee members can approve a hire from home. It updates instantly with no app-store downloads to manage.

Can we keep Anzac Day and Remembrance Day free of hire bookings?

Yes. Block those dates on a repeating yearly rule and the public booking form stops offering them, years ahead, so nobody can request the hall for 25 April by accident. The sub-branch meeting and the Ladies Auxiliary slot can be held the same way as standing bookings. New Zealand RSA clubs do the same for Anzac Day and Poppy Day.

Do invoices show GST correctly if the sub-branch is not registered?

Yes. If you are registered, invoices come out as valid tax invoices with GST shown on the lines where it applies and your ABN on the document — or your GST number in New Zealand. If you are not registered, GST never appears at all. You can also collect a certificate of currency from a hirer on the booking form, so their public liability cover arrives with the request.
